Next Shop Staff — Privacy Policy

Next Shop Staff (the “App”) is an internal application provided by Systems LB (“we”, “us”) for our authorized restaurant employees. It is for staff use only and is not offered to the general public.

Information we collect

When you sign in and use the App, we collect:

• Account information — your email address and name, obtained when you sign in with Apple or Google, used to identify you, assign your staff role, and secure your access. When you sign in using Apple, we receive only the information you choose to share through Sign in with Apple, such as your name and email address.
• Identifiers — a user account identifier and a device push-notification token, used to deliver order alerts to your device.
• Location (delivery drivers only) — We collect location data only for users assigned the delivery-driver role. Location is collected only while the driver is online and available for deliveries, including when the App is running in the background, and is used solely for order dispatching, delivery tracking, and operational coordination. Location sharing stops when the driver goes offline. It is never collected for other staff roles.
• Operational data — the customer orders you handle in the course of your work (order details and, for deliveries, the customer’s delivery address).
• Chat messages and voice notes (microphone) — messages you send in the order chat, including voice notes you choose to record. The microphone is used only while you actively record a voice note (with your permission); recordings are stored with the order conversation and are visible to the participants of that chat (staff handling the order and, where applicable, the customer).

The App does not track you across other apps or websites, contains no advertising, and does not sell your personal information.

How we use information

• authenticate you and control access to staff features;
• deliver real-time order notifications and alarms to your device;
• route, dispatch, and track orders and deliveries;
• operate, secure, and improve the App.

Service providers

The App is built on Google Firebase (authentication, database, and push messaging) and the Apple Push Notification service, which process data on our behalf as our service providers. We do not sell personal data to third parties.

Data retention

We retain account information, device notification tokens, and operational records for as long as an employee remains authorized to use the App and for a reasonable period thereafter to support business operations, security, auditing, and legal obligations.

When an employee leaves the organization or access is revoked, their account is disabled and access to the App is removed. Personal account information and associated operational data are retained only as long as necessary for legitimate business purposes, including maintaining order history, delivery records, security logs, and compliance requirements.

Location data collected from delivery drivers is used only for active delivery operations and is not retained longer than necessary for dispatching, delivery tracking, and operational recordkeeping.

Employees may request information about their data or request deletion of personal account information by contacting Systems LB. Certain operational records may be retained where required for business, legal, accounting, fraud prevention, or security purposes.

Account and data deletion

To request deletion of your account and associated personal data, email admin@systemslb.net from your work account with the subject line “Delete my account”. After we verify your identity, your personal account information — name, email address, notification (FCM) tokens, saved preferences, and any voice recordings you sent — is deleted within 30 days. Certain operational records (order history, delivery records, security logs) may be retained where required for business, legal, accounting, fraud-prevention, or security purposes.

Security

We protect data with industry-standard measures, including encrypted transport and access controls. Access to the App is limited to authorized employees.

Your rights

You may request access to, correction of, or deletion of your personal information by contacting us at the address below. As this is an employee tool, some data must be retained for business and legal reasons.

Children

The App is intended for adult employees and is not directed to children.

Changes

We may update this policy and will post the updated version on this page with a new date.
